Data Import Process in Momentum AMP

Overview
The Momentum AMP Data Migration process ensures your agency’s data is securely transferred from a previous Agency Management System (AMS) into Momentum AMS. This includes converting insureds, policies, contacts, and related records into a usable format so you can begin working efficiently in your new system.

When to Use This

Use the Data Migration process when your agency:

  • Is transitioning from another AMS to Momentum.

  • Has obtained or is requesting a data export file from your current AMS provider.

  • Needs Momentum’s data team to handle the migration, mapping, and import of your agency’s data.


Important Pre-Migration Notes

  • You may need to contact your current AMS vendor to obtain a full data export.
  • Some AMS providers charge a separate export or data release fee — these costs are determined by that vendor and are not included in Momentum’s migration pricing.
  • ⚠️ Do not connect carrier downloads (IVANS or direct downloads) or enter new data into Momentum until your migration is completed and approved by your Onboarding Specialist. Doing so may cause data duplication or overwrite imported information.
  • If your data is already formatted as CSV files and you have a small dataset, you may be able to complete the import yourself.
  • Please refer to How to Manually Import Agency Data During Onboarding and contact your Training or Onboarding Specialist for guidance before attempting a self-import.

Step 1: Submit the Data Migration Request Form

To begin the migration process, agencies must complete the official Momentum AMP Data Migration Form.

This form authorizes Momentum to begin your data migration and outlines the terms, costs, and required information.
You’ll be asked to provide:

  • Agency contact information (name, phone, email)

  • Agency name

  • Data source (e.g., AMS360, Hawksoft, Applied Epic, QQ Catalyst, EZLynx, CSV/XLS, etc.)

  • Notes or comments for the migration team

? Only submit this form once you have your exported data in hand or have confirmation from your previous AMS that it is being prepared.


Step 2: Choose Your Migration Service Level

Momentum offers two options for data migration:

  • Standard Migration – $1,000.00

    • Typical completion time: up to 4 weeks after data is received.

    • Includes analysis, preparation, and data mapping.

  • Expedited Migration – $2,500.00

    • Typical completion time: approximately 1 week after data is received.

    • Ideal for agencies with time-sensitive go-live dates.

Each migration includes:

  • Insureds / Prospects

  • Policies and Coverages

  • Carriers (NAIC) and MGAs (Underwriters)

  • Drivers, Vehicles, Contacts, and Certificate Holders

  • Notes and Attachments (within data limits)


Step 3: Review and Accept the Data Migration Agreement

By completing the form, you acknowledge and agree to the following:

  1. Data migration accuracy depends on the quality and structure of your export data.

  2. Completion times may vary depending on data complexity and developer workload.

  3. All data migration fees are non-refundable.

  4. You will not be able to process carrier downloads or import new data during migration.

  5. Momentum’s team will work closely with you to verify and adjust your imported data once complete.


Step 4: Authorize Payment and Upload Files

Within the same form, you’ll authorize your payment and upload your data files (maximum of 100MB per file).
If your files exceed this limit, email them to help@nowcerts.com for secure transfer.


Step 5: Migration and Review

  • Once received, Momentum’s data team will begin analysis, mapping, and import.
  • Standard migrations take up to 4 weeks.
  • Expedited migrations are typically completed within 1 week.
  • Once complete, your Onboarding Specialist will notify you to review and verify your migrated data before downloads are reconnected.

After your migration is complete, your agency must perform a systematic data validation to ensure accuracy and completeness before reconnecting downloads.

Key Notes & Best Practices

  • Always export data in standard formats (Excel, CSV, SQL, or Access) to avoid additional fees.

  • Pause all download connections (IVANS or direct carrier feeds) until migration is finalized.

  • Keep a backup copy of your original export for your records.

  • Once your migration is complete, your onboarding specialist will assist in verifying accuracy and activating carrier downloads.
