Data Review After Initial Migration

Overview
Once your initial data migration into Momentum AMS has been completed, it’s important to perform a systematic data review to ensure the accuracy, integrity, and completeness of your imported records. This audit process helps identify discrepancies early and allows Momentum’s Data Team to make targeted corrections quickly.

When to Use This

Use this process immediately after your initial data migration is complete and before reconnecting carrier downloads or entering new records.
The goal is to confirm that your data transferred correctly and that all insureds, policies, and supporting records are accurate.


Step 1: Focus on 2–3 Data-Rich Insured Accounts

Instead of sampling many accounts superficially, perform deep validation on two or three insureds with the most data activity — those that have:

  • Multiple policies across lines of business

  • Numerous vehicles, drivers, or certificates

  • Active attachments and notes

This focused approach provides the clearest picture of overall data accuracy and consistency.


Step 2: Validate Contact and Address Information

Confirm that all key contact details are correct, as these are often incomplete in carrier downloads:

  • Primary contact name

  • Email addresses

  • Phone numbers

  • Mailing and physical addresses

Note: Contact information is not included in IVANS or carrier downloads, so accuracy here depends on the original migration data.


Step 3: Review Vehicles and Drivers

For Commercial Auto or Personal Auto policies:

  • Verify vehicle details, including VIN numbers, make, model, and year.

  • Check driver records for license numbers, dates of birth, and assigned vehicles.

  • Ensure all associated drivers appear under the correct insured.


Step 4: Audit Policy-Level Information

At the policy level, confirm accuracy across:

  • Policy effective and expiration dates

  • Premium amounts and billing type

  • Coverage details and limits

  • Carrier and MGA assignments

  • Linked contact and insured records

Perform this check across multiple policy types (GL, WC, AL, PL, etc.) to ensure consistent mapping.


Step 5: Review Attached Documents and Notes

Spot-check document attachments and notes to ensure they transferred correctly:

  • Open attached files to confirm they belong to the correct insured or policy.

  • Verify that file names are intact and readable.

  • Review notes to ensure no truncation or data misalignment occurred.


Step 6: Compare Quantitative Totals

Perform a high-level comparison between your prior AMS and Momentum AMS:

  • Total number of insureds / prospects

  • Total number of active and inactive policies

  • Count of drivers, vehicles, and certificate holders

Small variances can occur due to data cleanup or inactive records, but large discrepancies should be investigated.


Step 7: Report Errors or Discrepancies

If you identify any issues, please provide specific examples to help the Data Team resolve them efficiently.
When reporting, include:

  • Policy number for incorrect premiums or missing coverage

  • VIN number for missing or duplicate vehicles

  • Driver license number for missing or incorrect driver records

  • Insured name and policy type for misaligned documents or attachments

Send your findings and examples directly to your Momentum Onboarding Specialist or Data Team contact.
They will review your report and reach out if additional details are needed.


Key Notes & Best Practices

  • Focus on depth, not quantity—thoroughly checking a few large accounts provides better insights than surface-level spot checks.

  • Record issues in a single list or spreadsheet before submitting to Momentum to streamline follow-up.

  • Once all major corrections are complete, your onboarding specialist will confirm readiness to activate carrier downloads and resume normal operations.
