The Commission Scan feature in Momentum AI allows agencies to upload carrier or MGA commission statements and import commission transactions into Momentum AMS without manually entering each transaction.
Commission Scan supports PDF, Excel, and CSV files. After Momentum AI extracts the commission information, agencies can choose between two methods: Import Commissions or Import XML.
Import Commissions uses a field-mapping process to apply commission transactions to existing policies. Import XML uses a workflow similar to Carrier Downloads, automatically matching existing insureds and policies and creating missing records when necessary.
This article explains how to scan a statement, complete either import method, create an agency commission statement, and verify agent commissions.
1. Access Commission Scan in Momentum AI
- Log in to Momentum AMS.
- From the navigation menu, expand Momentum AMP.
- Select Momentum AI.
- Momentum AI will open in a separate browser tab.
- From the left navigation menu in Momentum AI, select AI Scans.
- Under AI Powered Scans, click Commission Scan.

2. Upload the Commission Statement
Momentum AI Commission Scan can process commission statements provided as:
- PDF files
- Excel files
- CSV files
- On the Commission Scan screen, click the paperclip icon to attach a file.
- Browse to the location of the commission statement on your computer.
- Select the file you want to process.
- Click Send.
Momentum AI will begin reading the file and extracting the commission information.
Processing time may vary depending on the size and complexity of the statement. Allow the scan to finish before continuing.
3. Review the Extracted Commission Information
Once processing is complete, Momentum AI will display the commission records it identified in the uploaded statement.
The extracted information may include:
- Insured names
- Policy numbers
- Policy or transaction effective dates
- Commission amounts
- Other information included in the carrier or MGA statement
Momentum AI will also provide a prompt to continue using Advanced Options.
- Review the extracted commission information.
- Click Advanced Options.

4. Review Advanced Options
The Advanced Options window displays the uploaded statement and the information extracted by Momentum AI.
Depending on the file format:
- The original PDF may display on the left side of the window.
- Excel or CSV files may not display a visual preview in the left panel.
- The extracted commission information appears on the right side.
Review the extracted information for accuracy before proceeding.
At the top-right of the Advanced Options window, two import methods are available:
- Import Commissions
- Import XML
Both methods import commission information into Momentum AMS, but they use different reconciliation workflows.
5. Understanding the Two Import Methods
| Import Commissions | Import XML |
|---|---|
| Uses a CSV-style field-mapping process. | Uses a merge process similar to Carrier Downloads. |
| Matches transactions to policies already in Momentum AMS. | Automatically attempts to match existing insureds and policies. |
| Requires existing policy records for matching. | Can create missing insured and policy records during the merge. |
| Requires field mapping and an import preview. | Does not require manual field mapping or manually adding missing insureds and policies. |
Import XML is generally the recommended method because it reduces manual work and can match existing records or create missing records automatically.
6. Method One: Import Commissions
The Import Commissions method uses the same workflow as importing a commission CSV directly through the Reconciliations section of Momentum AMS.
Step 1: Open the Commission Import
- From Advanced Options, click Import Commissions.

- Momentum AMS opens Import Reconciliations and Generate Statement.

- Review the available field mappings.
Step 2: Map the Required Fields
For this workflow, map only the following four fields:
| Field | Instructions |
|---|---|
| Policy Number | Required to match the commission transaction to an existing policy. |
| Effective Date of Endorsement | Use the transaction date from the statement. Depending on the transaction, this may be the policy effective date or endorsement effective date. |
| Gross Commission | Map the commission amount from the statement. |
| Payment Date | Use the applicable payment or statement date. This date can be adjusted during the import process. |
Step 3: Remove Unnecessary Field Mappings
Some fields may be mapped automatically. Remove mappings that are not needed for this commission import.
Leave the following fields unmapped:
- Insured
- Gross Premium
- Commission Rate or Percent
- Other unnecessary statement columns
Unmapped fields should display I don't have it.
When premium information is already recorded in Momentum AMS, mapping Gross Premium during commission import can duplicate the premium.
For this workflow, leave Gross Premium unmapped and import only the required commission information.
Step 4: Generate the Import Preview
- Verify that the four required fields are mapped correctly.
- Click Generate Import Preview.

- Review the resulting transactions.
The preview should display four mapped columns containing the policy number, transaction effective date, commission amount, and payment date.
Confirm that all four columns contain the expected information.
Step 5: Import the Transactions
- Locate Ignore Duplicates.
- Make sure the option is unchecked.

- Click the import button displaying the number of objects to be imported.
- Review the import results for errors.
Leaving Ignore Duplicates unchecked allows multiple commission transactions associated with the same policy to be included.
Important: This method requires existing policies in Momentum AMS. If a policy number cannot be matched to an existing policy, the corresponding transaction may fail to import.
If policies are missing, consider using Import XML.
7. Method Two: Import XML
The Import XML method uses the Carrier Downloads merge workflow to process commission transactions.
Momentum AMS automatically attempts to match incoming information to existing insureds and policies. When matching records do not exist, the system can create them during the merge.
There is no need to manually add insureds or policies during this process.
Step 1: Select Import XML
- Return to the processed commission statement in Momentum AI.
- From Advanced Options, click Import XML.

- Momentum AMS opens the XML merge screen in the Carrier Downloads section.
Step 2: Review the Merge Screen
The XML merge screen displays the incoming commission transactions and indicates which insureds and policies can be matched to existing records and which records will be created during the merge.
The system handles matching and record creation automatically. You do not need to manually add insureds, create policies, or merge each transaction individually.
Review the displayed information, including commission amounts and the statement date, before continuing.

Step 3: Select the Transactions and Create the Statement
- Select the commission transactions you want to process. To process the entire statement, select all applicable transactions.
- Click Actions in the upper-right area of the screen.
- Select Merge and Create DB Statement.

Momentum AMS will complete the merge, match existing insureds and policies where possible, create missing records when necessary, apply the commission transactions, and generate the corresponding direct bill agency commission statement.
Why Use Merge and Create DB Statement?
The merge screen also provides a Merge Selected Items action.
Although this action merges the selected transactions, it does not perform the additional statement-creation action.
For commission statement processing, the recommended option is Actions > Merge and Create DB Statement.
This creates the agency commission statement record for review and subsequent agent commission processing.
8. Review the Agency Commission Statement
After completing the import, review the resulting agency commission statement.
- Navigate to Miscellaneous > Accounting Items > Agency Statements.

- Locate the statement created during the import.
- Click Actions > Edit to open the statement.

- Review the statement information and commission transactions.

- If necessary, update the statement name to make it easier to identify.
- Compare the statement totals against the original carrier or MGA statement.
The agency statement provides a record of the reconciled commission activity and allows the agency to review related agent commission information.
9. Verify and Generate Agent Commissions
After the agency commission statement has been created, agencies that pay commissions to agents or producers should verify that the applicable agent commission transactions have been generated.
Step 1: Review Agent Commissions on the Statement
- Open the agency commission statement.
- Locate the small triangle at the top of the statement.

- Click the triangle to expand the agent commission information.

- Review the commissions applied to the agents.
Step 2: Generate Missing Agent Commissions
If agent commissions are missing, or if agent commission rules have been updated, commissions can be generated from the agency statement.
- Return to the agency statement list.
- Locate the applicable statement.
- Click Actions.

- Select the appropriate option to generate agent commissions, splits, or referral source commissions.
- Review the resulting commission information.
Before generating commissions, verify that the appropriate agents are assigned to the policies and that the applicable commission rules are configured.
Important: Agency commission reconciliation and agent commission reconciliation are separate processes. Verify the agent commission transactions before proceeding with agent commission reconciliation.
10. Common Issues and Troubleshooting
Momentum AI Is Still Processing the Statement
Allow the scan to finish extracting the commission information. Processing time may vary depending on the size and complexity of the file.
The Original File Does Not Display in Advanced Options
Some file formats, including Excel files, may not display a visual preview in the left panel. Review the extracted commission information on the right side.
Import Commissions Cannot Match a Policy
Verify that the policy number on the statement matches an existing policy in Momentum AMS. If the policy does not exist, the CSV-style import may fail for that transaction.
Consider using Import XML, which can create missing insured and policy records during the merge.
Gross Premium Was Automatically Mapped
Remove the Gross Premium mapping before generating the import preview to avoid duplicating premium information already recorded in Momentum AMS.
The XML Merge Screen Shows Records That Will Be Added
This indicates that Momentum AMS did not identify an existing insured or policy match. The merge process can create the missing records automatically.
There is no need to manually add those records. Select the applicable transactions and use Actions > Merge and Create DB Statement.
Agent Commissions Are Missing
Verify the policy's agent assignment and applicable commission rules. Use the agency statement's Actions menu to generate the appropriate agent commissions, splits, or referral source commissions when necessary.

If an insured already exists in Momentum AMS but the incoming statement uses a slightly different name, the system may not automatically identify the correct record.
To match the insured:
- Locate the incoming insured record on the merge screen.
- Select the Match to Insured dropdown.
- Choose the correct existing insured record.
- Verify that the incoming information is associated with the intended insured.
Matching existing insureds before merging helps prevent duplicate records.
For example, a carrier may use an abbreviated business name while the agency has the full legal name recorded in Momentum AMS. Matching the incoming record to the correct insured allows the information to be associated with the existing record rather than creating another insured.
9. Merge the Commission Transactions
Once you have reviewed the extracted information, verified the totals, and confirmed the insured and policy matching results, you can complete the merge.
- Select the transactions you want to process.
- Click the Actions menu.
- Choose Merge and Create DB Statement.

Depending on the incoming transactions and existing records, Momentum AMS will:
- Match incoming information to existing insureds and policies.
- Create missing insured records when necessary.
- Create missing policy records when necessary.
- Associate commission transactions with the applicable records.
- Create the corresponding direct bill commission statement.
Note: The statement created by this action is an agency-level direct bill commission statement. Generating commissions payable to individual agents is a separate process.
10. Review the Results After Merging
After completing the XML merge, review the resulting records in Momentum AMS.
Confirm that:
- The expected commission transactions were processed.
- Existing insureds and policies were matched correctly.
- New insureds or policies were created only where appropriate.
- The resulting commission statement contains the expected transactions and amounts.
If your agency pays commissions to agents or producers, verify that the appropriate agent commission transactions have been generated before proceeding with agent commission reconciliation.
Agent commissions depend on the applicable agent assignments and commission rules. They should not be assumed to exist simply because the agency commission statement was created.
11. Common Issues and Troubleshooting
Duplicate Insured Records
Possible Cause: An incoming insured was not matched to an existing record before merging.
Recommended Action: Before completing the merge, review records marked ADD and use Match to Insured when the insured already exists in Momentum AMS.
Statement Totals Do Not Match
Possible Cause: The AI extraction may have missed or incorrectly interpreted information, or not all expected transactions were included.
Recommended Action: Compare the transaction count, gross amount, and commission total against the original carrier or MGA statement before merging.
An Existing Policy Is Marked ADD
Possible Cause: The incoming policy information was not matched to an existing policy record.
Recommended Action: Review the policy number and existing records before merging. Because the XML merge screen does not provide the same manual policy matching option as insured matching, investigate unexpected ADD indicators to avoid creating duplicate policies.
Agent Commissions Are Missing
Possible Cause: The policy may not have an assigned agent or the applicable agent commission rule may not be configured.
Recommended Action: Review the agent assignment and commission rule, then use the appropriate agent commission generation workflow.
12. Best Practices
- Use Import XML as a preferred method when processing supported commission statements through Momentum AI.
- Always compare extracted information against the original statement.
- Review records marked ADD before merging.
- Match existing insureds whenever the system does not automatically identify the correct record.
- Verify transaction counts, gross amounts, and commission totals.
- Review the resulting agency commission statement after processing.
- Confirm agent commissions separately when applicable.
- Retain the original carrier or MGA statement for future reference.
