How to Issue a Certificate of Insurance (COI) in Momentum AMS
  Need to send proof of insurance to a third party? Issuing a Certificate of Insurance (COI) in Momentum AMS is easy once you know the steps. Think of it like creating an official ID card for your client’s insurance policy — it shows what’s covered and confirms that coverage is active.

  This article provides a step-by-step guide to issuing COIs, including how to manage certificate holders, customize endorsements, and distribute certificates professionally and efficiently. 


Method 1: Issuing a Certificate from the Policy Record

This is the most common method—ideal when you're working within a specific policy.

✅ Step 1: Start the Certificate Process

  1. Open the Client’s Policy
    Use the dynamic search bar to find the insured by name or policy number. This takes you directly to the policy record.

  2. Click “Send Certificate” in the Upper Right
    Once inside the policy, locate the "Send Certificate" button in the top right corner of the screen. Click it to begin the certificate issuance process.

  3. Choose a Master Certificate
    A Master Certificate is a pre-filled template (like the ACORD 25) that includes your agency’s standard coverage info.

    Don't have a Master Certificate yet?
    Go to the insured’s Documents tab → Select Certificates Master → Click Add New. Choose ACORD 25, give it a name (e.g., “2025 Master COI”), select relevant policies, verify coverages, add a signature, and save.


✅ Step 2: Add the Certificate Holder

  1. Identify the Recipient
    A Certificate Holder is the party requesting proof of insurance—often a landlord, project manager, or vendor.

  2. Select or Create the Holder

    • Choose from existing holders already stored in your system.

    • Or create a new one by entering their name, mailing address, and (if needed) email address for electronic delivery.

  3. ? Tip: To manage all Certificate Holders, go to the Contacts menu on the left sidebar.


✅ Step 3: Customize the Certificate

  1. Review All Certificate Details
    Double-check coverages, limits, effective dates, and policy numbers for accuracy.

  2. Add Special Wording or Endorsements
    If the holder requests specific language (e.g., Additional Insured, Waiver of Subrogation), include those in the Description or Endorsement section.

    ? Important: These additions must reflect the actual coverage on the policy. If not yet added, use Endorsement Management first to process any changes with the carrier.

  3. Match Dates and Limits
    Ensure all details align exactly with the actual policy documents. This is critical for compliance and professionalism.


✅ Step 4: Save and Review

  1. Final Proofread
    Use Preview to check formatting, spelling, and alignment. A professional-looking certificate reflects well on your agency.

  2. Download or Send Certificate
    The COI will be stored under the Documents tab Sent Certificates within the insured’s profile—ensuring it’s always accessible.


✅ Step 5: Add Notes and Tags

  1. Internal Notes
    Add a note summarizing who the COI was sent to, what endorsements were included, and the reason for the request.

  2. Use Tags for Tracking
    Apply tags like COI – Prepared or COI – Endorsement to help organize and quickly locate requests later.


✅ Step 6: Distribute the Certificate

  1. Send from Momentum AMS
    Use the built-in email delivery system for efficient and trackable distribution.

  2. Attach as PDF (if needed)
    If the recipient uses a third-party system (e.g., myCOI, TrustLayer), attach a PDF copy manually.

  3. Use a Professional Subject Line
    Example:
    Subject: Certificate of Insurance for [Insured Name] – [Project Name]
    Body: "Attached is the requested Certificate of Insurance. Please let us know if you need any additional information."

Other Ways to Issue Certificates

Momentum AMS gives you flexibility to issue COIs in other ways:

From the Certificate Master or Holder Menus

Access the Certificates Master or Certificate Holders section directly from the navigation menu. This is helpful when issuing additional COIs without needing to navigate back into a specific policy.

For Additional Insureds

When the certificate includes an Additional Insured, start by:

  • Going to the Additional Interest tab inside the insured’s profile.

  • Adding the party as an Additional Insured.

  • Then, use the Actions > Send Certificate option.
