How to Track and Resend Certificates
  Momentum AMS makes it easy to track every Certificate of Insurance (COI) that has been issued to a certificate holder or additional interest. Whether you need to confirm delivery, review certificate language, or resend a previously issued certificate, the system provides a clear audit trail and simple resend functionality — all from the insured's profile.

  This article walks you through how to access sent certificates, review what was issued, and resend as needed. 


✅ Where to Find Sent Certificates

All certificates — whether sent manually, in bulk, or via an additional interest — are stored under the insured’s Documents tab.

Steps:

  1. Go to the Insured’s Profile

    • Use the global search or navigate from the Insureds menu

  2. Click the “Documents” Tab

    • Located at the top of the insured’s profile

  3. Click the “Certificates Sent” Sub-Tab

    • This shows a full log of all COIs that have been sent


What You’ll See

Each row in the Certificates Sent tab shows:

  • The certificate holder’s name

  • The date the certificate was issued

  • The master certificate used

  • The description of operations (if included)

  • Whether the certificate was sent by email

  • Click Actions to Resend, Download or Preview the certificate


How to Resend a Certificate

If the certificate has already been issued and you need to resend it to the same holder:

Steps:

  1. Go to the “Certificates Sent” tab

  2. Locate the row for the specific certificate

  3. Click Actions to the left of sent certificate
  4. Click Resend from the Actions menu
    • Resend an exact copy of a cert previously sent
    • Resend with option to edit (use this option if you emailed to wrong email)

You can update the recipient email before resending, or send to a different contact if needed.


Use Case: Same Holder, New Term

If the insured’s policy has renewed and the certificate needs updated dates or terms:

  • You will need to send a new certificate, not reuse the old one

  • Go to the insured’s profile and use “Send Certificate” as normal

  • The previously used holder will still be available in the dropdown list


Pro Tips

  • Use the Activity History tab to see a full audit trail of sent COIs, including user names and timestamps

  • You can filter by date range or search by holder name within the Certificates Sent tab

  • Reuse master certificates and description templates to ensure consistent messaging on every COI
