Setting Up a Renewal Pipeline in Momentum Automation Center

Overview
Momentum Automation Center (MAC) allows agencies to create renewal pipelines that track opportunities through every stage of the process. Pipelines ensure renewals — such as Commercial Auto — move from preparation to quoting and binding with clear visibility, detailed tracking, and automated workflows.

When to Use This

Use renewal pipelines in MAC when your agency wants to:

  • Track renewal opportunities in an organized way (e.g., Commercial Auto).

  • Manage renewals using custom stages that match your agency workflow.

  • Automate follow-ups, notifications, and client communication as opportunities move stages.

How It Works

Create a Renewal Pipeline

  1. Navigate to the Opportunities section in Momentum Automation Center.

  2. Create a new pipeline and name it (e.g., Commercial Auto).

  3. Select Yes for Renewals to enable renewal tracking for that pipeline.

Define Pipeline Stages

Build the stages that match your renewal workflow. Common examples:

  • Not Assigned

  • Preparing Application

  • Sent for Quoting

  • Bound

  • Lost

You can also assign access so only specific users or teams can move opportunities through certain stages.

Manage Opportunities

  • Create new renewal opportunities inside the pipeline.

  • Filter opportunities by full pipeline or by individual stages.

  • Drag and drop opportunities between stages as progress is made.

Work with Quotes

  • Open an opportunity to view notes, applications, and quotes.

  • Star the winning quote to mark it as Won.

  • If you move an opportunity to a Won stage without starring a quote, MAC will prompt you to select the winning quote.

Automate the Renewal Workflow

MAC pipelines support stage-based automations, so as you drag and drop opportunities:

  • Notifications are sent to your team.

  • Automated workflows can trigger:

    • Emails or text messages to clients.

    • Tasks or notes for follow-up.

    • Webhook posts for integrations.

    • Cloning opportunities/quotes for repeat business.

This eliminates manual work and ensures renewals move smoothly without staff having to create reminders or follow-ups themselves.

Key Notes & Best Practices

  • Align pipeline stages with your agency’s renewal process so teams stay consistent.

  • Leverage automations to handle repetitive work like reminders, follow-ups, or status updates.

  • Always star the winning quote for accurate reporting.

  • Use the history view on each opportunity for a full audit trail.

Troubleshooting

  • Opportunities not moving? Check user permissions for that pipeline.

  • Automations not firing? Confirm automations are tied to the correct pipeline stages.

  • Quotes missing? Make sure they are attached to the opportunity in the application or quoting stage.
