Momentum AMS allows you to assign due dates, set priority levels, and configure reminders when creating or editing a task. These tools help you manage time-sensitive follow-ups, stay organized, and reduce the chance of missed deadlines.
This article shows you how to properly apply these settings — including how to use the built-in reminder system tied to tasks or notes.
Setting a Task Due Date
Every task should include a Due Date so it appears correctly in dashboards, pipelines, and filters.
To set the due date:
From the Insured’s Activity History, locate or create a new task
In the task creation or edit screen, find the Due Date field
Select a specific date from the calendar picker
Click Save
? The system will flag overdue tasks in red if they are not completed by the due date.
Setting Task Priority
Momentum AMS offers three Priority levels to indicate urgency:
Low - Low importance
Medium – (default)
High – Urgent attention required
To set priority:
In the task creation window, locate the Priority dropdown
Choose the desired level before saving
Tasks will appear color-coded in the Task Overview Pipeline based on priority.
⏰ Setting Task Reminders
Reminders in Momentum AMS are flexible and powerful. You can set them during:
Task creation
Note creation
Or when editing an existing item
To set a reminder:
In the Task or Note form, check the box next to Reminder
Select the Reminder Date and Time
Choose one or more reminder delivery options:
Email to Assigned User
Add to Agency Calendar
Email to Additional Recipient (enter email manually)
✅ Reminders will display on the user’s Momentum dashboard and trigger email alerts (if selected).
Example Use Cases
Scenario | Reminder Setup |
---|---|
Renewal follow-up due in 2 weeks | Set task due date + reminder 5 days prior |
CSR needs to collect signatures by Friday | Set task for Friday, with "Rush" priority + reminder on Wednesday |
Note includes client call summary that requires action | Add reminder when saving the note, linked to the task |
Best Practices
Always use reminders for tasks with external dependencies (e.g., client response, carrier reply)
Use the calendar integration to visualize workload across your team
Avoid overusing Rush priority — reserve it for true emergencies
When documenting task updates in notes, always link the note to the task and use a reminder if further follow-up is needed
