Momentum AMS onboarding is designed to get your agency up and running quickly — but skipping key steps or rushing through the process can cause delays and data issues later.
This guide covers the most common mistakes agencies make during onboarding and how to avoid them.
1. Skipping Momentum University Training
Mistake:
Jumping straight into using the system without completing the recommended Agency Admin or Non-Admin (CSR) training paths.
How to Avoid It:
Complete the assigned Momentum University training before your first live workflows.
Ensure each user has their own login and tracks their course progress.
Access training at Momentum University.
2. Not Submitting Required Setup Forms
Mistake:
Failing to complete forms such as the Carrier Download Configuration Form before requesting integrations like IVANS.
How to Avoid It:
Submit required setup forms early in onboarding.
For IVANS, complete the Carrier Download Configuration Form as soon as your mailbox credentials are ready.
3. Importing Data Without Cleaning It First
Mistake:
Uploading insured, prospect, or policy data with duplicates, missing fields, or special characters that prevent mapping.
How to Avoid It:
Use the official Momentum AMS import templates.
Remove duplicates and verify formatting before import.
Import insureds first, then carriers/MGAs, then policies.
4. Forgetting to Set Up Payment Integration
Mistake:
Waiting until the first invoice is due to connect a payment provider.
How to Avoid It:
Connect your payment provider during onboarding via Agency Profile → Configure API.
Review providers at Momentum AMS Preferred Partners.
Test your first transaction before going live.
5. Not Assigning Roles and Permissions
Mistake:
Giving all users full admin access or failing to assign the correct roles for their responsibilities.
How to Avoid It:
Review user permissions in the agency setup.
Give admin rights only to those managing configurations and billing.
Set clear role-based access for CSRs, producers, and admins.
6. Delaying Core Workflow Training
Mistake:
Not practicing real-world workflows (like issuing certificates or processing endorsements) until an actual client request comes in.
How to Avoid It:
Schedule workflow training sessions during onboarding.
Use sample insureds and policies to practice key workflows before handling real client data.
7. Not Asking Questions Early
Mistake:
Waiting until something breaks or a deadline is missed to ask for help.
How to Avoid It:
Reach out to Momentum AMS Support as soon as something is unclear.
Use the Help menu inside Momentum AMS or email help@nowcerts.com.
Final Tip
Successful onboarding comes down to preparation and practice.
Complete training, clean your data, set up integrations early, and test workflows before going live.
