Step 5: Add MGAs

Similar to adding carriers, there are two methods to upload Managing General Agents (MGAs):

  1. Manually, and Using the Import Tool.

Method 1: Adding MGAs Manually

  1. From the main navigation menu, click on "Contacts" and then select "MGAs".

  2. Click on "Add New" located next to the MGA list.

  3. Enter the required information, including:

    • General and Address Information: These fields are mostly self-explanatory. The ID field refers to the agency ID used by the MGA to process payments.

    • Reps: Enter the name and contact details of the representative you work with at the MGA. If you need to add multiple reps, click the green [+] button next to "Note."

    • Contacts: Provide the MGA's contact details.

    • Business/Payment Information:

      • Remit By: Specify the payment remittance terms agreed upon with the MGA (e.g., "1st of the month" or "20 days after client payment").
      • Remaining Payments: Enter the number of payments remaining (for commercial policies, "9" is typical).
      • Premium Sent: Choose whether the premium is Net (of Commission), Gross, or Monthly.
    • Lines of Business: Enter the lines of business for the MGA. To add additional lines, click the green [+] button.

    • Custom Fields: Create any additional fields if you need to store information that isn't covered elsewhere.

  4. Once all required information is entered, click "Save Changes".

This process allows for detailed customization and ensures that all relevant information is captured.

The Import Tool for Adding MGAs

If you have a list of Managing General Agents (MGAs) to import in bulk, the process can be streamlined using an import tool. Follow these steps to efficiently upload your data:

Steps to Use the Import Tool

  1. Prepare Your CSV File

    • Ensure your file is in CSV format (Comma Separated Values) with a header row in the first line. If your data is in Excel format, open the file in Excel and select "Save As" to convert it to CSV.
  2. Access the Import Tool

    • From the main navigation menu, expand the "MISCELLANEOUS" section, then expand "Data Imports and Exports", and click on "Data Import".
  3. Select the MGA Import Type

    • In the "Type" field, choose "MGAs" from the dropdown. Click "Select", locate your CSV file, and click "Upload".
  4. Map the Data

    • The system will attempt to match the columns from your CSV file to the appropriate fields. Review these mappings and adjust if necessary by selecting the correct columns from the dropdown menu.
  5. Generate an Import Preview

    • After mapping the fields, click "Generate Import Preview" to review how your data will be imported.
  6. Complete the Import

    • If the preview looks accurate, click on "Import Objects" to finalize the process.
  7. Review and Edit MGAs

    • After the import is complete, you can review the imported MGAs under the "MGAs" section. Use the search function to locate specific entries. To make adjustments, click "Actions" > "Details" to view, or "Actions" > "Edit" to update the MGA information.
