How to Use Workflow Checklists

Workflow Checklist Overview
  Workflow Checklists in Momentum AMS provide a lightweight way to track common activities without creating full task groups. They are similar to tasks but less complex, making them ideal for routine processes like renewals, endorsements, or Excess & Surplus lines submissions. Each checklist can be customized with step-by-step items that your team can mark complete as they work.

Step 1: Access Workflow Checklists

  1. Log in to Momentum AMS.

  2. From the left navigation, go to Miscellaneous → Agency Customization.

  3. Select Workflow Checklists.

Step 2: Create a New Checklist

  • Click Add New.

  • Give the checklist a Name that matches the process (e.g., Renewal Checklist).

  • Add individual Checklist Items in the order they should be completed.

    • Example (Renewal Checklist):

      1. Request loss runs.

      2. Update exposure data.

      3. Send renewal proposal.

      4. Bind coverage.

      5. Issue renewal certificate.

Step 3: Assign Checklist Types

You can create different types of checklists for common agency activities, including:

  • Renewals – Track steps like questionnaires, quotes, binding, and certificates.

  • Endorsements – Confirm coverage changes, premium adjustments, and updated documents.

  • Excess & Surplus Lines Submissions – Ensure all required applications, supplemental forms, and signatures are included before submission.

Step 4: Use Checklists in Daily Workflows

  • Once a checklist is created, it can be attached to the relevant insured, policy, or submission.

  • Team members can check off items as they are completed.

  • Completed checklists remain attached to the record for audit and accountability.


Best Practices for Workflow Checklists
  • Use Workflow Checklists for processes that are too small for full task groups but need consistent tracking.
  • Standardize checklists by line of business (e.g., Commercial Auto Renewal vs. General Liability Renewal).
  • Keep checklist items short and action-oriented (e.g., *Send Renewal Proposal*, not *Proposal*).
  • Review checklists periodically to ensure they match your agency’s most up-to-date processes.
   • Use checklists as training tools for new staff to learn consistent workflows.
