How to Manage Tasks and Task Pipelines in Momentum AMS

Tasks and Task Pipelines in Momentum AMS are essential tools for managing workflows and ensuring your team stays organized and productive.

Step 1: Accessing Tasks

Momentum AMS offers two main views for managing tasks:

  1. List View:

    • Navigate to the left-hand menu and click on Tasks to access the list view.
    • This traditional layout organizes tasks by due date, priority, or other criteria for structured task management.
  2. Kanban Mode (Pipeline View):

    • Go to the left-hand menu, click on Pipelines, and select Tasks Overview.
    • This visual, drag-and-drop format allows you to move tasks through different stages of a workflow, providing a dynamic way to track progress.

Step 2: Creating and Assigning Tasks

  1. In either view, click the “New Task” button to create a task.
  2. Enter the following details:
    • Task Title: Provide a clear and concise name for the task.
    • Description: Add details about what needs to be completed.
    • Assigned To: Select the agent or CSR responsible for completing the task.
    • Priority Level: Set the task as Low, Medium, or High priority.
    • Due Date: Specify the deadline for the task.
  3. Save the task, and it will appear in the selected view.

Step 3: Tracking Overdue Tasks

  1. Navigate to the Overdue Tasks Report in Momentum AMS.
    • This report highlights tasks that are past their due dates, ensuring your team can quickly prioritize and address them.
  2. Use filters such as Assigned To, Priority, or Task Type to narrow down overdue tasks for specific team members or categories.

Step 4: Monitoring Inactivity with the Stale Days Tasks Report

  1. Access the Stale Days Tasks Report to view a summary of open tasks categorized by the number of days since their last activity.
  2. Use this report to identify tasks that may have been overlooked or forgotten.
  3. Reassign or reprioritize these tasks to ensure they are completed promptly.

Step 5: Customizing Task Filters

  1. In either List View or Kanban Mode, apply filters to focus on specific tasks.
  2. Available filters include:
    • Assigned To: View tasks assigned to specific team members.
    • Due Date: Focus on tasks due within a certain timeframe.
    • Priority Level: Sort tasks by Low, Medium, or High priority.
    • Task Status: Narrow down tasks by status, such as Open, In Progress, or Completed.
  3. Apply multiple filters simultaneously to create a customized view that aligns with your workflow.

Step 6: Managing Tasks in Kanban Mode

  1. In the Kanban Mode, tasks are displayed in columns representing different stages of a workflow (e.g., Open, In Progress, Completed).
  2. Drag and drop tasks between columns to update their status as they progress.
  3. This visual approach makes it easy to track tasks at a glance and identify bottlenecks in your workflow.

Step 7: Reviewing Task Completion

  1. Regularly review completed tasks to ensure workflows are progressing as expected.
  2. Use the Tasks Overview or reports to identify trends, such as recurring overdue tasks or high-priority items.
  3. Provide feedback to team members based on task performance to improve accountability and efficiency.
