Momentum AMS allows agencies to create Insured User Accounts so clients can log in to a secure portal. Through their account, insureds can:
• Send their own certificates of insurance
• View or download shared files
• Access ID cards and other policy documents
This feature improves customer service by giving clients self-service access while allowing you to control exactly what they can see and do.
Step 1 – Open the Insured/Prospect Record
From your Momentum AMS dashboard, navigate to the Insured or Prospect you want to give portal access to.
Click More Actions in the top right corner.
Select Create User Account.
Step 2 – Configure the Account Invitation
The Send Email Invitation box will be checked by default.
This ensures the client receives their login instructions by email.
Choose Access Rights:
Similar to Another Insured: Select from the dropdown if you want to copy permissions from another insured/prospect.
Custom Permissions: Select or deselect access rights manually under Access Rights to fit the client’s needs.
Once access rights are set, click Send Invitation.
Step 3 – Managing the Account
After setup, you will see additional account management options in the insured’s record, including:
Reset Password – Sends a new password reset link to the insured.
Modify Permissions – Change the insured’s portal capabilities at any time.
Deactivate Account – Remove portal access if necessary.
Step 4 – Client Login
Once the invitation is sent:
The insured will receive an email with a link to log into your designated portal.
They can then perform any actions you’ve allowed, such as issuing certificates, accessing ID cards, or downloading shared files.
Best Practices
Limit Permissions: Only grant access to features the insured needs to prevent misuse.
Use the “Similar to Another Insured” Option: Speeds up setup for clients with identical access requirements.
Verify Email Accuracy: Ensure the insured’s email is correct before sending the invitation.
Promote Self-Service: Encourage insureds to use the portal to reduce routine service calls.
