What are Default Workflows and can I use them?

You don't have to be a coding expert to start automating. Momentum Automation Center comes with specific folders of "Default Workflows"—pre-built recipes designed to handle the most common agency tasks immediately.

1. The "Recipe Book" Concept

Think of a Default Workflow as a meal kit. We have already packed the ingredients (Triggers), the instructions (Logic), and the presentation (Email Templates) for you.

They are fully functional out of the box. You simply review them and turn them on.

2. Can I use them without a subscription?

Yes! If you have access to the Automation Center menu, you have access to the Default Workflows, but your ability to change them depends on your plan.

Understanding Plan Limits:

Basic Plan Users (Free): You have access to the "Essentials" folder (e.g., Renewals, Birthdays).
Constraint: You can view the logic and use the workflow as-is, but you cannot edit the triggers, filters, or email text.

MAC Plus CRM Users (Paid): You unlock the "Advanced" folder (Sales Pipelines, Cross-Sells) AND you gain full Editing Rights to customize triggers, timing, and content to match your specific voice.

Most Popular Defaults

  • The Renewal Safety Net: Automatically emails clients 90, 60, and 30 days before their policy expires to start the renewal conversation.
  • The Birthday Greeter: Sends a polite, warm email on the client's birthday. (Zero sales pitch, just relationship building).
  • The X-Date Hunter: (Advanced) Identifies prospects whose current policy with another carrier is expiring soon and prompts your producers to call.

4. How to Activate a Default Workflow

Never turn a workflow "ON" blindly. Follow this safe activation process:

Step-by-Step:

1. Navigate to the Default Workflows folders.
2. Find the workflow you want (e.g., "Renewal").
3. Review: Click into the Touchpoints to see what will be sent.
(Note: If you are on the Basic Plan, ensure the generic phrasing works for you, as you cannot edit it.)
4. Activate: Once satisfied, simply toggle the status from Inactive to Active.
Pro Tip: Default workflows are always set to "Inactive" when you first open your account. Nothing sends until you explicitly turn the toggle ON!
